Financial documents for a residence permit: how to translate statements and income certificates
Almost every residence-permit programme — for financially independent persons, digital nomads, family reunification — requires proof of income or savings. And almost every package of financial documents raises the same questions about translation: whether to translate the whole six-month statement in full, what to do with hundreds of transaction lines, whether notarisation and an apostille are needed.
What to translate in full and what selectively
Certificates are translated in full, with all the details, seals, and signatures: an income and tax certificate, a bank certificate of balance and turnover, a pension amount certificate, an employer's certificate of position and salary. These are compact documents, and the immigration authority reads them word for word.
A bank statement of account for 6–12 months is a different case. Translating hundreds of transactions in full is usually not required and makes no sense: the authority looks at the opening balance, the regularity and size of inflows, and the closing balance. Standard practice is to translate the statement "header" (holder, account number, bank, period, currency), the totals, the legend, and the column headings of the table; the payment descriptions themselves are translated selectively or left with a translator's note. Be sure to check with the receiving side whether that format suits them: some countries require a full line-by-line translation.
Certification, currency, formatting
Most often a notarised translation is needed; for some visa centres and universities a translation with the agency's stamp is enough; for a number of countries the bank certificate is additionally apostilled. Amounts and currency are not converted into euros or dollars in the translation — they are left exactly as in the original; conversion, if needed, is done by the authority itself, or a separate exchange-rate certificate for the date is attached.
Gather all the financial documents as of one date (balances "as of today" go out of date fast), give them as a single order, agree the statement translation format with the agency in advance, and clarify with the immigration authority the required level of detail. This avoids the situation where you have already paid to translate three hundred pages of transactions when ten were needed.
